Microsoft Exchange
Microsoft Exchange is a powerful email system that runs on a server and centrally collects email for all users in a company. End users then configure an email application such as Microsoft Outlook to connect to the Exchange server and read the email from the server. Microsoft Exchange allows for:
- Shared Email Accounts
- Shared email folders through Public Folders
- Shared Contact Lists
- Shared Calendars
- Web Access To Emails, Calendar and Contact Lists
- Comprehensive backup and recovery of emails via a backup solution such as Veritas or ArcServe
Initial set up for Exchange can seem expensive as you need to buy a server, client licenses and implement a backup solution, but this is a one time cost.

Hosted Exchange
Hosted Exchange Solutions is the same as above but you do not need a server as everything is hosted for you by a hosting company which maintains the servers, creates all the backups and so on. Each user in the company can either use their Outlook programme to send and receive email, or they can log in using their web browser. This option reduces costs initially because you don't have to buy the server or Exchange Server software and the associated licenses, but hosted exchange is an on-going expense and over time might prove more expensive. Gmail Corporate Email
Google's email solution - Gmail - can now be used to run your email solution. It is possible to set up a free coporate email solution using your own domain name. Rather than using an @gmail.com email address, you can mask the address to show your company domain such as sales@companydomainname.com
Gmail offers about 7 Gb of storage space for the free version but for this you get no support or backups. Email clients send and receive emails via a gmail web interface or they can configure their email programme such as Outlook to send and receive email.

Domain Hosted Email
If you own a domain, it migth have come with a website hosting package or an email accounts package. Either way, you can associate an email account with that domain and then users can access their email through a web browser interface or by configuring their email client software such as Outlook to access their email by using POP3.

Direct Mail For PDAs / Smart Phones
Blackberry once dominated the field of email on the go but Microsoft came up with their own version called Direct Push which is very similar to Blackberry email meaning you can get your corporate email on any Windows Mobile device using Windows Mobile 5 or 6.
If you have an Exchange Server you can use this service at no extra cost. You only pay for the phone's data connectivity through your service provider.
